Tableau screenshots are displayed on monitors throughout Broad using the process described below and scripts described here:
Tableau server configuration and support#ScreenshotScripts

Monitors with IP addresses listed can be reached via VNC Viewer (Kristen Connolly, Zach Leber, Andy Hollinger) or accessed with bluetooth accessories.

SUMMARY AND INSTRUCTIONS
The computers hooked up to these monitors are licensed to run VNC.

  • Primary method of managing these monitors/computers: From specific computers set up as access points (see list of these in attached PDF).
  • Secondary method of managing these monitors/computers: Bluetooth keyboards paired with the monitors/computers (currently stored at Kristen's desk).
  • Most of the computers are hidden either behind its monitor or on the other side of the wall its monitor is on.

To manage via VNC:

  • Get BITS to add your own computer's IP address to the list of approved VNC-accessing machines (list in attached PDF, see BITS [INC0078954|https://broad.service-now.com/navpage.do]) .
  • Run VNC viewer. (Software available for download here: [VNC Viewer software|https://www.realvnc.com/download/viewer/])
  • BEFORE connecting to the monitor machine, disable keyboard and mouse input in VNC Options/Preferences > Inputs (so as to not disrupt the screensavers).
  • Enter the IP address of the target VNC server computer (see table below).
    • Password is required on monitors with new VNC licenses (same easy PW on all monitors). (None required on monitors with old VNC licenses, but that should change when BITS corrects the licenses).
  • This lets you see the monitor as it is.
  • To actually change its settings, "enable mouse input" must be checked (this can be done once you're connected, by accessing the hidden toolbar in the top center of the screen).
  • After making changes and disabling the mouse, the screensaver should just start after one minute (so you can check the screenshots)

The process of adding a new VNC server/monitor:

  • Customer will tell BITS they want one. BITS will send them to us.
  • If we agree to work on it, BITS will be in charge of getting it all setup and licensed.
  • They can point it at a test folder, and then we can point it at the "real" folder of screenshots once they've been made. (mount, run, point at existing folder)

Tricks to optimize the actual Tableau views for large-screen format:

You may want to optimize the output for large screens by creating a duplicate view for screenshots and changing the resolution in Tableau to 1600x1000, increasing font size, removing filter cards, using custom views, etc.

Computers running VNC and showing screenshots:

Screenshots are created using scripts & batch files run on tableau.broadinstitute.org and stored in \\gp-reports\TABLEAU_Files\Screenshots\ in the subfolders listed below. More info here: Tableau server configuration and support#ScreenshotScripts
