High level overview

Alerts notify individual machine owners if any instrument is due for a QC soon. If an individual doesn't perform the QC, an alert is sent to the larger department (e.g. CLIA, WGS) responsible for the machine before the QC due date.

Active alerts per QC type:

  • Instrument QC LeakTest - 30 days spec
    • MyMachinesOnly will alert individual owners at 26 days 
    • Group alerts will send alerts to google groups at 28 days
  • ArtelQC - 180 days spec
    • MyMachinesOnly will alert individual owners at 159 days
    • Group alerts will send alerts to google groups at 175 days

MyMachinesOnly alerts

This type of alert works based on a custom view where "Show My Machines Only" = true. This looks at Jira instrument data to see who the assignee of a machine is. 

The downside with this is that individual assignees need to be manually added to the alert recipients field.

Not getting MyMachinesOnly alerts?

  • Check that you are set as the assignee of the instrument in JIRA
  • Ask analytics to check the alert to see if your name is on it.

Group alerts

Group alerts work by sending alerts for saved custom views to relevant role account users. Google group users that want to be included in this setup need to contact BITS and request a role account for that google group so that Tableau may discover it.

Example

The alert Artel Due (WGS Group) is based on a saved custom view called WGS where the Department filter is set to WGS.
Then an alert is created using this view, and the user wgs_group is listed as a recipient and will receive the alert at wgs@broadinstitute.org.
